Data privacy notice of 6G Flagship

This Data Privacy Notice applies to the 6GFlagship.com web service and to visitor data collected and processed on the web service.

6G Flagship values your privacy and strives to provide a secure experience. We want to notify you about the data we gather when you use our website or services and how we use and handle that data in this Privacy Notice. We’ll also tell you where you can learn more about how your personal information is handled and what rights you have concerning it.

The term “6G Flagship” refers to the 6G Flagship program at the University of Oulu and all of the projects or programmes 6G Flagship is involved in. When you use 6G Flagship’s website or services, your data is used and handled by 6G Flagship.

How we handle your personal information

We may collect some information about you when you visit our website or contact our customer care or staff. For example, if you subscribe to the 6G Flagship newsletter, your email address is the only information we ask for. We only process your personal information for the purposes listed in this Privacy Notice and for the service-specific purposes on which you can find more information by clicking on the links provided. You can also contact our Customer Care for more information on handling personal information.

You may also share information from 6G Flagship’s services to systems or services offered by a third party, such as Facebook or LinkedIn. 6G Flagship is not responsible for any information transferred elsewhere or for the accuracy of the information outside 6G Flagship’s domain. Each service provider’s information security and privacy practices are applied to such information.

Data security

There are always risks associated with supplying personal data, whether in person, over the phone, or via the internet or other technologies, and no system or technology is safe or tamper-proof. 6G Flagship collects and processes data using appropriate technical and organisational security measures (e.g. encryption) and procedures to prevent unauthorised access to and improper use of your personal data. If 6G Flagship sites accept online payments, for instance, when registering for an event, the sites will employ industry-standard security procedures to ensure the confidentiality and security of these transactions. In addition, we employ industry-standard security procedures, such as SSL authentication, to ensure that your credit card information and other personal data given as part of a purchasing process are kept secure from third-party interception.

Purpose of processing personal data and legal basis for processing personal data

6G Flagship is a programme run under the auspices of the University of Oulu. Like the University of Oulu, 6G Flagship fulfils the statutory task of serving humanity at large as laid down in section 2 of the Universities Act (2009/558) through studying, teaching and engaging in social interaction.

The purpose of processing your personal data is to maintain and develop the technology and contents of the 6G Flagship’s web service and develop and target the functionalities of the web service.

Using the service creates log entries. These log entries are used to ensure data security, develop the technical features of the service, and detect, prevent, and resolve failures.

Data recorded on the 6G Flagship website includes, for example, information submitted with different forms.

The web service uses cookies that are necessary for the operation and information stored by cookies of third-party services. The purpose of the cookies is to enable the web service to remember certain preferences for a certain period. Cookies allow the website visitor not to have to make the same selections when navigating from one page to another during the same session.

The cookies 6G Flagship website uses can be categorized as

2) Statistic (non-essential) cookies
3) Marketing (non-essential) third party cookies

Necessary cookies are only used to ensure the website’s technical performance and are not used for other purposes. These cookies do not require the user’s consent. They help make the website usable by enabling basic functions like page navigation and access to secure areas of the website.

Statistics cookies help 6G Flagship as the website owner to understand how visitors interact with the website by collecting and reporting information anonymously. After giving your consent for using the cookies, the cookie banner is minimized at the bottom left of the page behind the icon, where it can be re-opened by clicking on the cookie banner icon.

Marketing cookies are used to track visitors across websites. The intention is to display ads that are relevant and engaging for the individual user and thereby more valuable for publishers and third-party advertisers. After giving your consent for using the cookies, the cookie banner is minimized at the bottom left of the page behind the icon, where it can be re-opened by clicking on the cookie banner icon.

The purpose of the cookies is to enable the web service to remember certain preferences for a certain period. Cookies allow the website visitor not to have to make the same selections when navigating from one page to another during the same session.

Third-party service cookies are stored on a visitor’s terminal device. They enable the collection of anonymous data of the visitor such as the browser, operating system or terminal used and information of the use of the web service such as the site from which the visitor arrived at the website, pages loaded and timestamp.

For accepting cookies, the 6gflagship.com web service uses a cookie banner which the visitor can find at the footer of each page. The cookie banner contains information about the cookies used in the service.

Cookies are used only with the consent of the web service user. The user can change their cookie preferences at the cookie banner at any time. After giving your consent for using the cookies, the cookie banner is minimized at the bottom left of the page behind the icon, where it can be re-opened by clicking on the cookie banner icon.

Google Analytics is used to develop the website and quality control the web service to measure the online service’s usage data and analyse the data collected. Visitor tracking does not identify individuals. A website visitor’s IP address can be used to determine the organisation for which the IP address is registered and what the visitor’s geographic location is. You can prevent Google Analytics from collecting data by downloading an additional feature to your web browser at https://tools.google.com/dlpage/gaoptout. Preventing the installation of cookies may affect the functionalities of the website and the use of services provided by the website. By using the website, you accept the processing of your personal data.

In addition, the 6G Flagship website contains third-party community plug-ins: for example, Google Tag Manager, AddThis, Twitter, Facebook, LinkedIn and YouTube. The third-party community plug-ins are visible on the 6G Flagship website, but their contents are downloaded directly from the service providers’ servers. Information on the community plug-in services used by visitors to connect to social media is transferred to the monitoring data of the third-party service in question. The 6G Flagship website does not send information on users via social extensions.

All services offered by third parties and applications supplied by third parties available on the 6G Flagship website are subject to the terms of use and other regulations of the third party in question.

Personal data to be processed

For the purposes defined in this Data Privacy Notice, 6G Flagship’s website collects the following necessary data on users: Data collected and derived from service use:

  • 6G Flagship collects data on website users through, e.g. the use of cookies. A cookie is a small text file sent to the user’s browser, and it usually contains an anonymous identification number. Cookies do not damage the terminal device.
  • Statistics are compiled on the use of the website. Statistics include the number of users, country of use, time of use, the used browser, and the contents that the visitors have examined. In addition, a statistical entry is made of whether the user is a 6G Flagship internal or external user. An individual user is not identifiable based on this data.

Information you submit to 6G Flagship:

  • In the ‘Join the Ecosystem’ contact form, 6G Flagship website requests for your name, organisation, email address, and topic of interest as required information. Your name and email address are needed to allow us to contact you about your request. Your organisation and topic of interest help us find the appropriate people within 6G Flagship to best serve your business area and provide information on your request interests. We also ask for your job title, phone number, and cooperation interests as non-required information.

    When contacting directly to 6G Flagship email address, to the address provided in the ‘Contact us’ section, your email system determines which information it sends. At minimum, your email system sends your email address.

Recipients or categories of recipients of personal data

We transfer personal data only within the 6G Flagship and University of Oulu organisation and only to the extent necessary for the technical maintenance and development of the website and the maintenance, analysing, development and targeting of content-related communications and marketing. The personal data is processed by 6G Flagship at the University of Oulu and other online support services.

6G Flagship will disclose personal data to third parties outside the University of Oulu only as the third parties need access to the processed personal data to provide 6G Flagship or the University of Oulu with services for the purposes specified in this Data Privacy Notice. This refers to, for example, the Google Analytics analysis tools supplied by Google. In addition, 6G Flagship may disclose anonymous data to third parties who assist the University in the development of the website and in resolving technical issues or failures.

Data storage time

Collected data is stored until the end of 2028 when 6G Flagship programme ends. The data is used for purposes presented in this Data Privacy Notice. It will not be used for other purposes.

Data transfers

We use data centers located in Europe. It is possible that we or the service providers used by us may, in some circumstances, transfer your information outside the EU / EEA. This can happen, for example, if data is duplicated outside the EU / EEA to the United States so that your data is secure even in the event of a failure of the main servers. Transmission volumes must always be carried out safely and in accordance with the law. We will ensure that the necessary measures are taken to prevent the transfer of your personal data to a party outside the EU or the EEA that does not comply with the legal requirements for the processing of personal data.

The European Commission has accepted the use of model contract clauses to ensure adequate protection of data transferred outside the EEA. When these are added between the parties to the data transfer standard contract clauses agreement the personal data will be considered protected when transferred outside the EEA or the United Kingdom to countries where the adequacy decision does not apply. We use these model contract clauses in data transfer.

Some third-party services may be located in countries outside the European Economic Area. The 6G Flagship is not responsible for your use of third-party services through the 6G Flagship website (for example, Facebook, Twitter, YouTube, and LinkedIn).

Data subject rights

You have the following rights as a data subject:

  • Right to access your data.
  • Right to have inaccurate data corrected (keep your contact information up to date).
  • In certain situations, the right to have data erased (“right to be forgotten”).
  • In certain situations, the right to restriction of processing.
  • In certain situations, the right to object to processing.
  • In certain situations, the right to have data transferred from one system to another is performed automatically if the processing is based on consent or agreement.

Please note that the applicability and scope of your rights as mentioned above will be specified on a case-by-case basis under the EU General Data Protection Regulation, depending on, e.g. the grounds for processing the data, and that you do not have the rights as mentioned above in all cases.

Right of appeal to the supervisory authority

In addition to the rights mentioned above, you have the right to file a complaint about processing your personal data with the Office of the Data Protection Ombudsman as the supervisory authority. The contact details and opening hours can be found on the website of the Data Protection Ombudsman.

General description of the technical and organisational protection measures

As the Data Controller, the 6G Flagship uses appropriate technical and organisational measures to protect personal data against unauthorised or unlawful processing and against damage or loss.
